Position Description
The Operations Coordinator provides day-to-day coordination and administrative support across Creative, Product Development, Purchasing, and Safety Testing. This role works with internal teams, suppliers, partners, and testing labs to keep proofs, prototypes, samples, purchase orders, shipments, and product testing moving according to established processes. In addition to the accountabilities listed below, other duties and projects may be assigned.
Primary Accountabilities
Creative Production & Localization Coordination
Coordinate localization and proofreading workflows, routing files and feedback to the appropriate internal reviewers and tracking completion
Serve as the day-to-day intermediary among Creative, suppliers, and partners such as Asmodee, routing proofs and consolidating feedback to secure required approvals and keep projects moving forward
Review comments on assigned Trello cards, coordinate required follow-up, update next steps, and move cards through the established workflow to maintain visibility and prevent delays
Confirm approved files, specifications, and supporting information are complete and ready to avoid delays in purchase order placement
Purchasing, Vendor, & Shipment Support
Create and update assigned purchase orders, item records, and supporting information in Brightpearl and applicable tracking tools based on approved quantities, specifications, costs, and need-by dates to maintain accurate purchasing and inventory records
Maintain routine production and shipment dates, follow up with suppliers for updates, communicate current information to affected stakeholders, and escalate delays or issues requiring a decision
Assist with shipment coordination by providing documentation needed by the freight forwarder to avoid shipment delays
Coordinate with the Creative team and suppliers to work through the proofing process for reorders to meet need-by dates
Assist with product setups as needed in the ERP system and Shopify to ensure timely PO placement and product launches
Safety Testing, Documentation, & Coverage
Coordinate required safety and compliance testing for new products and scheduled retesting for existing products under the direction of the compliance owner to maintain compliance
Work with factories to prepare and ship product samples to approved testing labs and provide the documentation required to begin testing to avoid shipment delays
Track test status, follow up on outstanding results, and escalate failures, delays, or unclear requirements to the compliance owner
Maintain documentation, organize test reports, and record each product’s most recent test date so current documentation can be located quickly
Submit new product registration filings to our Authorized Representative to maintain compliance in Europe
Cross-train on critical tier 1 creative, product development, purchasing, and supply-chain processes to provide coverage during employee absences and support continuity of work

Qualifications
Bachelor’s Degree in Business, Operations, or related field, or equivalent experience (required)
1+ year of experience working for a CPG company (preferred)
1+ year of experience in an operations- or product-focused role (preferred)
Experience working with overseas suppliers (preferred)
Demonstrated ability to manage multiple priorities and adapt to changing needs (required)
Experience working with an ERP system (preferred)
Proficient in Google Sheets and/or Excel (required)
Proficient in Google Suite (preferred)

Compensation and Benefits
The salary range for this position is $45,000 - $55,000.
