Position Description 

The goal of the Operations Coordinator is to facilitate purchase order placement and monitoring with overseas suppliers through close collaboration with the Supply Chain, Sales and Creative teams. This position will also play a key role in creation and maintenance of item master data. In addition to the accountabilities listed below, other projects and duties may be assigned.
 

Primary Accountabilities

  • Purchase Order Coordination
    • Work closely with the sales team to monitor direct import and localization sales orders to ensure timely purchase order placement
    • Coordinate with the creative team and overseas suppliers to ensure production files are received and approved
    • Create and maintain purchase orders in the ERP system (Brightpearl) with up-to-date information to allow for proper visibility for all stakeholders
    • Collaborate with the sales team and suppliers to ensure shipments are booked with freight forwarders as needed, and the required documents are provided to the customers
    • Assist the Purchasing Lead with documentation gathering and data updates to keep purchase orders on track with established timelines
  • Data and Documentation Management
    • Create new items in our ERP system (Brightpearl) and Shopify, and maintain information for existing items to ensure data accuracy
    • Create new print-on-demand items in Order Desk through close collaboration with the e-commerce team to ensure products are available for sale on their launch dates
    • Assist the Supply Chain team with maintaining documentation related to products and suppliers to ensure accurate and efficient purchase orders
    • Maintain SOPs as processes change to ensure they accurately reflect the current process
  • Cross-departmental Collaboration
    • Work closely with the Kickstarter project team to ensure timely product setups, and order management throughout the project
    • Coordinate with the Customer Experience and Ecom teams as necessary to resolve open order issues related to incorrect product setups
    • Assist with New Product Development activities in coordination with the NPD manager and the Creative team to enable accurate tracking of development progress

Qualifications

  • Associates degree or 2 years of equivalent experience (required)
  • Experience (1+ years)
    • Purchasing, Supply Chain, Operations or experience in a similar role (required)
    • Consumer goods business (preferred)
  • Tech proficiencies (1+ years)
    • Intermediate proficiency in Excel and/or Google Sheets (required)
    • Email application such as Gmail, Outlook etc. (required)
    • ERP system or similar (preferred)
    • Project/Task management tool (preferred)

  • U.S. residency


Compensation and Benefits

The salary range for this position is $40,000 - $50,000 + up to 10% bonus eligibility.
