Position Description 

The goal of the Creative Operations Specialist is to coordinate and track the creation of innovative, stylized products and processes from product concept to completion, aligned with the organization’s vision. In addition to the accountabilities listed below, other projects and duties may be assigned.

Primary Accountabilities

  • Product Development

    • Set up and organize all product development queues (in Trello or other software) at an expert level to ensure processes are executed within expected timelines, and each project is completed on schedule

    • Track and communicate on the progress for all products from concept through approved prototype, communicating any roadblocks or issues to appropriate team members to meet brand standards and deliver high-quality products in an efficient manner

    • Ensure that all prototyping documentation such as the Line Plan Release Calendar, Rolling 20 Prototyping Queue, Product Approval Slide Decks, and other ongoing product tracking guides/tools are maintained through regular updates and audits to keep all releases on track

    • Assist the Creative Operations Manager with project and process management across all brands and ensure that all deliverables for ongoing projects are tracked and project-related processes are updated

  • Collaboration

    • Collaborate with the supply chain, marketing, sales, and all creative teams on assigned projects and processes to prevent/overcome roadblocks and communicate information efficiently

    • Document, audit, and update SOPs as assigned for various processes both within the Creative Operations team and for the Creative Department as a whole to ensure clear and consistent documentation is available and up-to-date

    • Assist in creating and presenting training materials and product guidelines to ensure other members of the team have access to the most up-to-date process information, documentation, and tracking tools/sheets

    • Collaborate with the Creative Operations Manager to execute new projects that support the company’s creative vision and growth goals by identifying actionable steps to allow successful implementation

  • Organization

    • Maintain all technical and procedural art/product file folders, ensuring files are organized, updated, and available to internal teams without confusion about which versions of files are to be utilized

    • Suggest and implement process improvements to continually increase creative output and minimize errors and frustration among internal partners

    • Assist the Creative Operations Manager in the development of new tools for progress tracking, documentation, and communication archives and ensure that they are properly utilized by informing the team of changes in process and coaching them on usage

    • Update assignment tracking tools with new project deliverables and deadlines as they arise to ensure all information is available for scheduling purposes and projects stay on track

    • Assist with ad-hoc organizational projects and tasks such as drive audits, verifying documentation storage, etc., and one-off projects to keep the team informed and operating efficiently

  • Project Management: Plans and executes projects within their domain

Qualifications

  • Bachelor’s degree or minimum 2 years of equivalent experience (required)

  • 1–3 years of experience supporting project coordination, project administration, or operational workflows (required)

  • Experience coordinating and updating multiple projects simultaneously while balancing competing priorities and meeting deadlines (preferred)

  • Strong organizational skills with exceptional attention to detail and the ability to maintain accurate documentation across multiple concurrent projects (required)

  • Experience collaborating with cross-functional teams in a fast-paced environment (preferred)

  • Experience supporting product development, creative operations, merchandising, or similar workflows (preferred)

  • Proficiency in Google Suite (preferred)

  • Proficiency with Trello or similar project management software (required)

  • Ability to remain flexible and adapt quickly to changing priorities and deadlines (required)

Compensation and Benefits

The salary range for this position is $60,000 - $70,000 + up to 10% bonus eligibility.
